RECOMMENDATION 4: IT AND THE ENTERPRISE The University should develop and maintain plentiful IT resources and acquire (or develop) and arrange for (or deploy) applications, web content, enterprise systems, and tools that are accessible and effective to facilitate the efficient function of the University. Action Item 4:1 With the increase in demand for general web content development, administration, and hosting at the University, IT service providers at UK should collaborate on developing a strategy to enable agile web services to more broadly and effectively answer demand as well as the needs of specific colleges and departments. Given the broad and diverse nature of this challenge, ITS should provide assistance in developing such a strategy and convening stakeholders. Web content management services are in great demand at UK. Not only is there an enterprise need, but a corresponding lack of basic skills and services available to address this need. As a result, a strategy should be developed on an all-encompassing level, with current, successful web initiatives serving as a model for best practices. Decisions regarding what competencies UK wishes to foster in-house, and what is best handled by third-party partners, should be topics of discussion in developing the strategy. Action Item 4:2 Enterprise systems should include features to allow for centralized document management and facilitation of online workflow. All new systems should endeavor to eliminate manual and paper document handling and routing. Currently, the University is not fully utilizing a document management system to provide enhanced flexibility in scanning, storing, retrieving, archiving, and applying workflow as well as approval processes for documents. As a result, planning should be conducted with participation from key stakeholders to identify the resources needed so UK can fully utilize such a solution.
